TEACHERS - Teachers at Busy Brains are all highly qualified with University degrees and professional education qualifications. Busy Brains selection process includes taking up professional references, checks with DBS for each teacher and evidence of recent safeguarding training.

CLUBS AND WORKSHOPS

TEACHING - Clubs and workshops vary in the nature of their content depending on the club. Activities that are provided support the National Curriculum objectives where appropriate and are differentiated as needed. Activities will be practical and interactive.

ATTENDANCE AND PAYMENT - CLUBS AND WORKSHOPS - Registers are kept for safeguarding purposes so up to date contact details for parents/carers is imperative, should we have to contact for any reason.

Places are confirmed upon payment being made and are NON-REFUNDABLE.

Payment is required before attendance at any club. This can be made by direct bank transfer or directly online (for a small platform fee taken by the processing company - Busy Brains do not receive this.)

We reserve the right to remove students from a club if payment has not been received.

  • Please be aware that there is considerable preparation involved before and after each session, in addition to travel time and cost to the teacher.
  • All clubs are resourced according to the numbers of pupils attending.
  • Please note that we are unable to provide refunds for missed sessions e.g. due to pupil illness, school closures, a pupil leaving the school, circumstances beyond our control etc.

TEACHERS CANCELLING SESSIONS - On the very rare occasion that a teacher needs to cancel a session, this will be communicated as soon as possible to the client. An alternative session will be arranged it this fits with the school calendar. If it is not possible to rearrange, then a refund will be offered or a credit on the next block of sessions.

Please note that the teacher is only engaged to provide activities within the club setting, not to provide homework or carry out progress meetings.

TUITION

TEACHING - Different tutors have different teaching methods and styles. All tutors will tailor their method to the needs of the individual student in private tutoring sessions. Every student is an individual so there is no set pattern or material for private tuition.

Background information provided by parents/carers prior to starting with Busy Brains is of great help and the tutor will ask for any additional information as needed.

Private tuition usually takes place in the students home so please ensure that sessions can be conducted in a quiet atmosphere conducive to concentration and learning. Exercise books and textbooks are the responsibility of the client and costs will be passed on.

ATTENDANCE - PRIVATE TUITION - The charge for the attendance of a tutor at a session is the hourly/45 min/ half hourly rate as appropriate. Please note and be aware that there is considerable preparation involved before and after each session of tuition, in addition to travel time and cost to the tutor. Lessons cancelled at short notice cannot usually be replaced and result in lost working time for our tutors.

  • Please note that we are unable to provide refunds for missed sessions e.g. due to pupil illness or circumstances beyond our control etc. Without the due notice.

ILLNESS/HOLIDAYS - Please contact Busy Brains and the tutor directly over matters concerning illness, giving a minimum of 48 hours notice (except in unforeseeable situations). Please inform Busy Brains and the tutor of any planned events (holidays, school trips etc) giving at least 3 weeks notice. Tutors will be as flexible as possible and attempt to rearrange lessons where they can but this is not always possible due to timetable constraints.

Cancellations without the minimum 48 hrs notice will be charged at the hourly/45 min/half hourly rate as appropriate.

TUTORS CANCELLING SESSIONS - On occasion, a tutor may need to cancel/postpone a lesson for other work/family commitments. They will give as much notice as possible to the client and offer an alternative time if at all possible. Lessons will be refunded or moved into the following month if an alternative cannot be mutually arranged. The same applies for tutor illness.

STOPPING PRIVATE TUITION

Stopped by the tutor: If for any reason a tutor has to stop lessons, Busy Brains will endeavour to replace that tutor as soon as possible, subject to availability, in order to minimise disruption to the student's progress.

Stopped by the client: Please give at least 2 weeks notice to terminate tuition services to both Busy Brains and the tutor. This is so the tutor can conclude and plan their work with the student and plan their own commitments. Tuition will automatically continue each month until notice is given by either party.

If the appropriate termination notice to Busy Brains is not provided in sufficient time, you will be charged for any sessions arranged. This aids continuity for the tutor and enables them to seek reassignment to another student.

PAYMENT FOR PRIVATE TUITION - Payment is required at the beginning of each month for private tuition. Please ensure that full payment for all invoices is received by Busy Brains within 10 days of the date of the invoice.

Full Term Payment Discount - A discounted rate is available where a minimum of 10 lessons in a term are paid for in advance. The discount is conditional on the minimum 10-lesson commitment being maintained. Where a lesson is cancelled with at least 48 hours notice, a refund or credit will be issued based on the discounted lesson rate. Cancellations made with less than 48 hours notice are fully chargeable. If cancellations reduce the number of lessons paid for below the minimum 10-lesson commitment, Busy Brains reserve the right to recalculate the fees at the standard rate.

Busy Brains reserve the right to charge a statutory rate of 8% (according to Late Payment Law) plus any other reasonable costs should payments be consistently or unreasonably late.

FEES - There is a one off registration fee of £15 for all students registering for private tuition with Busy Brains which parents/carers agree to pay prior to lessons starting. This is non-refundable once sessions have been agreed and booked in. This is an administrative charge which pays for the consideration of several Busy Brains tutors and finding the most appropriate tutor to meet the clients needs.

Fees are as stated on our website for all areas of business (tuition, after school clubs, workshops). Busy Brains act as the agent of the tutor and provide introductions to clients. All fees are collected directly through Busy Brains and not the individual tutor. Tutors cannot enter into private agreements with clients that have been introduced through Busy Brains. A tutor has been introduced in the event that either the name of the tutor is provided by Busy Brains to the client or the tutor has arranged and made contact with the client.

OTHER TERMS

  • Any opinion expressed by a tutor is not necessarily the opinion of Busy Brains.
  • The tutor is engaged only to provide private tuition and is not responsible for the safety, welfare, well-being and care of the students or for the protection of the persons property. A responsible adult must be present on the premises during lessons.
  • As agent contracting on behalf of the tutor, Busy Brains will not be liable to the client or any third party for any act, omission or error (whether wilful, negligent or otherwise) of the tutor.
  • Clients are not permitted to make private arrangements for tuition with tutors introduced through Busy Brains which includes payment of fees.
